Intellectual Property Litigation Legal Assistant

COJK is seeking qualified candidates to fill a full-time Intellectual Property Litigation Legal Assistant position. Qualified IP Litigation Assistant candidates will possess at least 2-3 years of litigation experience within a law firm environment.  Candidate must possess excellent analytical and superior organizational skills, solid communication skills, creativity, and initiative.

Responsibilities include:

  • Work with the assigned attorneys and paralegals on matters from filing of the complaint through discovery and trial.  Successful assistants develop solid working relationships with the firm team members and clients
  • Continually find new and better ways to improve processes through the application of new technology
  • Calculate and manage the litigation docket calendar with assistance from the litigation paralegal
  • Manage case files; including a complete set of the correspondence, memos, pleadings, and client documents, and help monitor deadlines on the docket calendar
  • Work with the attorneys during the briefing process by checking the legal fact cites and ensuring proper formatting style
  • Assemble and organize the exhibits and supporting documents, as well as, electronically filing documents with the court and serving all parties
  • Transcribe and draft various documents, forms, correspondence, memoranda, timesheets, project work, and court documents in the daily production of legal documents
  • Edit, finalize, and format documents, and copy and distribute to clients, opposing counsel, attorneys, and staff
  • Proofread and redline documents to ensure accuracy and quality control of copy, grammar, spelling, punctuation, and syntax in final format
  • Manage calendar and meeting coordination, including availability of attendees, meeting notifications and reminders, conference room and equipment set-up, meal orders, and preparation of meeting materials
  • Handle incoming and outgoing mail and fax correspondence, date stamp and distribute promptly
  • Perform a variety of administrative functions, including processing new client/matter forms and conflict checks, expense reports, and reconciliation; preparation of reports, tables, and excel documents as requested
  • Provide back-up support to team, department, and floor for coverage and project assistance as needed


  • Requires federal court litigation experience
  • Familiarity with preparing, proofing, and filing/serving common litigation documents including complaints, motions, and discovery requests/responses
  • Experience with litigation docketing is preferred
  • Ability to work well within a team environment
  • Strong knowledge of MS Word, Outlook, Excel, PowerPoint, PACER and federal court rules
  • Familiarity with the U.S. Patent & Trademark Office, including Trademark Trial and Appeal Board and Patent Trial and Appeal Board proceedings, a plus
  • Excellent customer service skills
  • Willingness and ability to be flexible
  • Strong attention to detail and organization skills
  • A self-starter who will seek out opportunities to help/support whenever possible
  • Ability to strategize where needed
